This Privacy Policy governs access to and use of the RefNet, Inc. ("RefNet," "Company," "we," "our," or "us") services, including the RefNet web browser interfaces, and any future mobile applications and extensions (together, the "Service") which is provided by RefNet. It explains how we collect, use, disclose, and protect information in connection with the Service, and your choices about the collection and use of Customer ("you" or "your") information.

The Service enables hiring managers, recruiters and others looking to fill open jobs to find and contact potential candidates for those jobs, as well as to set up interviews with potential candidates. If you do not want your information to be included as part of our Service, you may opt out by contacting us at info@RefNet.ai. However, we may retain your information even after you have opted out, so we can keep a record of and process your opt-out and/or if retention is necessary to comply with legal obligations, regulatory requirements, or to prevent fraud or abuse.

This Privacy Policy applies only to information collection on or through the Service. It does not apply to information we collect by other means (including offline) or from other sources other than through the Service.

Account Information

When you first create your account, you will need to authenticate with one of the Service's supported third-party authentication providers.

Your User Content: We may also collect User Content, including content that you post, upload, or otherwise share or integrate with the Service. You may choose to integrate your Service account with certain third-party services, by opting to upload certain of your information ("User Content") (such as your company logo, Gmail contacts) into the Service. No such integrations happen by default; they must be initiated by you. If you choose to connect the Service with a third-party service, you give us permission to store your log-in credentials for that service and to access and use your information from that service as permitted by that service. You may choose to have information uploaded or shared by you removed at any time by contacting us at info@refnet.ai.

Information we may receive from third parties

We may collect and receive information about you from third parties such as your name, employer and position, and contact information. For example, we may collect information about you from publicly available websites and other users who upload information into the Service. We use this information to operate and improve the Service.

Google API Services Policy

RefNet's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Gmail Data — Access, Use, and Protection

What we access: When you choose to use RefNet's Gmail draft feature, we request the gmail.compose scope, which allows the app to create Gmail drafts on your behalf. We do not request access to read, search, or delete any of your existing emails, contacts, or other Gmail data.

How we use it: The sole purpose of this access is to pre-populate a Gmail draft with a personalized outreach email to a referrer or hiring manager identified through the RefNet platform. You review the draft in your own Gmail inbox and choose whether to send it. No emails are sent automatically without your explicit action.

Limited Use: RefNet's use of Gmail data obtained via Google APIs is strictly limited to providing the Gmail draft feature described above. We do not use this data to serve advertisements, train AI/ML models, or for any purpose other than the specific feature you initiated.

Data retention: RefNet does not store, log, or retain the content of any Gmail drafts or Gmail account data on our servers. The OAuth access token is stored temporarily in your browser session (sessionStorage) and is cleared when you close the browser tab or session expires. It is never transmitted to or stored on RefNet's backend servers.

Data sharing: We do not share, sell, transfer, or disclose your Gmail data to any third party for any purpose, including advertising or analytics. Gmail data is never used to build user profiles or shared with data brokers.

Data protection mechanisms: We implement the following technical and organizational safeguards to protect sensitive Google user data:

Security: All communication between your browser and Google's Gmail API is made over HTTPS. OAuth tokens are short-lived and scoped only to draft creation. RefNet never has access to your Gmail password or any Gmail data beyond what is minimally necessary to create the draft you requested.

Revoking access: You can revoke RefNet's Gmail access at any time by visiting Google Account Permissions and removing RefNet from the list of connected apps. Revoking access does not affect your RefNet account or any other RefNet features.

Analytics Information

We may directly collect analytics data, or use third-party analytics tools, to help us measure traffic and usage trends for the Service. These tools collect information sent by your browser or mobile device, including the pages you visit and other information that assists us in improving the Service. We collect and use this analytics information in aggregate form such that it cannot reasonably be manipulated to identify any particular individual user.

Cookies Information

When you visit the Service, we may send one or more cookies, a small text file containing a string of alphanumeric characters, to your computer that uniquely identifies your browser and lets us help you log in faster and enhance your navigation through the site. A cookie may also convey information to us about how you use the Service (e.g., the pages you view, the links you click and other actions you take on the Service), and allow us or our business partners to track your usage of the Service over time. A persistent cookie remains on your hard drive after you close your browser. Persistent cookies may be used by your browser on subsequent visits to the site. You can choose to remove a persistent cookie any time by following your web browser's directions about how to erase or delete cookies. A session cookie is temporary and disappears after you close your browser. You can reset your web browser to refuse all cookies or to indicate when a cookie is being sent. However, key features of the Service may not function properly if the ability to accept cookies is disabled or if you erase our cookies.
